Terms & Conditions

Event means the function, wedding, party, corporate event, festival, or other occasion for which services are provided.

Services means all bar services, alcohol catering, staffing, equipment hire, mobile bar hire, beverage supply, and related services supplied by The Bar UK.

Booking means the confirmed agreement between The Bar UK and the Client.

2.1 A booking is not confirmed until:

• A written quotation has been accepted by the Client; and
• Any booking fee or payment requested by The Bar UK has been received.

2.2 The Bar UK reserves the right to refuse or decline any booking at its discretion.

3.1 Payment schedules will be specified within the quotation or booking confirmation.

3.2 Unless otherwise agreed in writing, all outstanding balances must be paid no later than 14 days prior to the Event date.

3.3 Failure to make payment by the due date may result in cancellation of the booking.

4.1 Any booking fee, reservation fee, or deposit paid to secure an Event is non-refundable unless under extenuating circumstances.

4.2 The booking fee is paid to reserve the Event date and compensate The Bar UK for administrative work, planning, scheduling, and the loss of opportunity to accept alternative bookings.

5.1 All cancellations must be submitted in writing.

5.2 The following cancellation charges shall apply:

• More than 90 days before the Event: Loss of all non-refundable deposits and booking fees.
• 31–90 days before the Event: 50% of the total booking value payable.
• 30 days or less before the Event: 100% of the total booking value payable.

5.3 If cancellation occurs after full payment has been made, any applicable cancellation charges will be retained by The Bar UK.

6.1 Any amendments requested by the Client must be made in writing.

6.2 The Bar UK will make reasonable efforts to accommodate changes but cannot guarantee availability.

6.3 Additional charges may apply where amendments increase staffing requirements, stock requirements, equipment needs, travel, or operational costs.

7.1 The Bar UK will comply with all applicable licensing laws relating to the sale and supply of alcohol.

7.2 Alcohol will not be served to overly intoxicated individuals.

7.3 The Bar UK operates a Challenge 25 policy where appropriate.

7.4 The decision of The Bar UK staff regarding the refusal of service is final.

8.1 The Client is responsible for ensuring the venue is suitable for the Services booked.

8.2 The Client shall provide:

• Safe and reasonable access for staff and equipment;
• Suitable power supply where required;
• Adequate space for setup and operation.

9.1 All equipment supplied by The Bar UK remains the property of The Bar UK unless otherwise agreed.

9.2 The Client shall be responsible for any loss, theft, damage, or destruction of equipment caused by guests, contractors, venue staff, or third parties connected to the Event.

9.3 Replacement or repair costs will be invoiced to the Client.

10.1 The Client shall ensure that all guests behave in a safe and lawful manner.

10.2 The Bar UK reserves the right to cease service immediately where applicable.

10.3 No refund or compensation shall be payable if service is suspended due to abusive, dangerous, illegal, or threatening behaviour.

10.4 The Client is responsible to make all attendees aware of their responsibility and alcohol consumption at all times.

10.5 By attending, the Client acknowledges that they are consuming alcohol and/or ingredients at their own risk. The Bar UK accepts no liability for any injury, loss, damage, or incident arising from the consumption of alcohol and/or ingredients before, during, or after the event.

10.6 The Bar UK is not responsible for guests' actions outside of the event, including travel to and from the venue.

11.1 The Bar UK shall not be liable for failure to perform its obligations where such failure results from circumstances beyond its reasonable control, including but not limited to:

• Severe weather;
• Flooding;
• Fire;
• Pandemic or epidemic;
• Government restrictions;
• Transport disruption;
• Industrial disputes;
• Utility failures;
• Acts of terrorism.

11.2 In such circumstances, The Bar UK may reschedule the Event where reasonably possible.

11.3 Any payments already made shall remain non-refundable.

12.1 Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot legally be excluded.

12.2 Subject to clause 12.1, The Bar UK's total liability arising from any booking shall not exceed the total amount paid by the Client for the Services.

12.3 The Bar UK shall not be liable for:

• Indirect losses;
• Consequential losses;
• Loss of profits;
• Loss of business opportunities;
• Loss arising from actions of third parties.

13.1 The Bar UK maintains appropriate public liability insurance.

13.2 Copies of insurance certificates may be provided upon reasonable request.

14.1 The Bar UK may take photographs or videos of its bar setup and service areas for marketing purposes.

14.2 If the Client does not wish photographs to be used, notice must be provided in writing before the Event.

15.1 Personal information will be processed in accordance with applicable UK data protection legislation.

15.2 Information will only be used for booking administration, service delivery, legal compliance, and related business purposes.

16.1 Any complaint relating to the Services must be submitted in writing within 14 days of the Event.

16.2 The Bar UK will investigate and respond within a reasonable timeframe.

17.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.

17.2 Any dispute arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
